Who we are
Seatline is run by Seatline, of [registered address: to be confirmed]. We are the data controller for the personal data described here. You can contact us about privacy at support@seatline.uk. [To confirm: ICO data protection fee registration number]
Seatline is an independent service and is not part of, or endorsed by, Vue Entertainment.
What we collect
- Your request: your name, email address, phone number if you give one, any note you add, and the cinema, film, showing, seats and price estimate you chose.
- Your chat with us: the messages you and our team exchange about your request.
- Your payment: how you paid (PayPal), the payment or transaction reference and the amount. We never ask for card numbers or passwords. If you pay by PayPal, PayPal also shows us the name and email on the paying account.
- Technical data: your IP address is used for a short time, in memory only, to block abuse such as repeated automated requests. It is not stored with your request. Our hosting provider may keep access logs that include IP addresses for a limited period. [To confirm: the hosting provider's log retention period]
- Analytics, only if you allow it: anonymous daily counts of page views and of actions such as choosing a showtime. No cookies, no identifiers and no IP addresses are used or stored for this.
How we use it, and our lawful bases
- To give you a quote, talk to you in the chat, check your payment, book your seats at Vue and confirm the booking: to perform our contract with you.
- To email you when there is a reply or an update in your chat, with a link back to it: to perform our contract with you. These emails are about your own request; we do not send marketing.
- To prevent fraud, spam and misuse, and to keep the service secure: our legitimate interests in running a safe service.
- To keep business and accounting records we are required to keep: legal obligation.
- To count anonymous visits and actions so we can improve the site: your consent, which you can withdraw at any time in .
Who we share it with
- Vue Entertainment, to book your seats. We book in our own name, with our own email address, so we don't give Vue your name or contact details. Vue's own privacy policy covers your visit to the cinema.
- PayPal, if you choose to pay by PayPal. PayPal acts as an independent controller under its own privacy statement.
- Service providers that host the website and store its data on our behalf: Render (web hosting) and Upstash (database), both US companies, with the servers and data in Frankfurt, Germany.
- Resend, which sends our emails on our behalf as a processor. It handles your email address, your name and the content of the email, which is a short notice and a link to your chat.
Film posters are fetched by our server and shown from our own address, so your browser does not contact Vue to display them. We do not sell personal data and we do not use advertising or tracking cookies.
International transfers
Some providers may process data outside the UK. Where they do, we rely on UK adequacy regulations or the UK International Data Transfer Agreement or Addendum. [To confirm: the transfer safeguard used for each provider]
How long we keep it
- Requests, chats and payment references: [To confirm: retention period for closed requests (the site can remove personal details automatically after a set number of days)].
- Records needed for accounting and tax: [To confirm: retention period for accounting records].
- Anonymous analytics totals: up to 400 days. They contain no personal data.
Your rights
You can ask to see the personal data we hold about you, to correct it, to delete it, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time. To use any of these rights, email support@seatline.uk. We reply within one month.
If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

Keeping your data safe
The site is served over HTTPS. Each chat opens only with its own private link. Staff access to orders needs a secret sign-in token. We never collect card numbers or bank log-in details.
